Privacy Policy

1. Who This Policy Covers

This policy applies to three categories of users: Salon Operators (businesses and individuals who subscribe to ChairIQ to manage their salon operations), Stylists (individuals who access ChairIQ through a salon's account), and Clients (individuals who book appointments through a ChairIQ-powered booking page).

2. Information We Collect

From Salon Operators

• Business name, address, and contact information
• Account login credentials (managed via Supabase Auth)
• Billing and payment information (processed by Stripe — we do not store raw card data)
• Salon configuration settings, service menus, and pricing

From Stylists

• Name, contact information, and role within the salon
• Compensation type and commission rate
• Stripe Connect account information (for commission stylists receiving payouts)
• Schedule availability and appointment history

From Clients

• Name, phone number, and email address
• Hair profile information: coil pattern, density, stretched length, and hair condition
• Hair photos uploaded during the booking consultation process
• Reference photos sent via SMS
• Appointment history, service preferences, and visit notes added by salon staff
• Payment information (processed by Stripe — we do not store raw card data)
• SMS and email communications related to appointments

Automatically Collected

• Device and browser information
• IP address and approximate location
• Usage data and platform interaction logs

3. How We Use Your Information

For Salon Operators and Stylists

• To provide and maintain the ChairIQ platform
• To process stylist payouts via Stripe Connect
• To manage scheduling, availability, and appointment records
• To send platform communications (account updates, billing, support)

For Clients

• To power the hair consultation and time estimation process
• To schedule and confirm appointments
• To collect deposits and process payments via Stripe
• To send appointment confirmations, reminders, and receipts via SMS (Twilio) and email (Loops)
• To maintain your appointment history and hair profile for better service continuity
• To store reference photos you send to your salon

For All Users

• To improve the accuracy of our texture-aware time estimation model over time using anonymized, aggregated appointment duration data
• To ensure platform security and prevent fraud
• To comply with legal obligations

4. Hair Photos and AI Analysis

When you upload a hair photo during the booking consultation, that photo is transmitted to Anthropic's Claude Vision API for analysis, used solely to classify hair characteristics (coil pattern, density, length) and generate a service time estimate, stored in secure cloud storage associated with your client profile at the salon, and never used to train AI models or shared with third parties beyond what is necessary for analysis.

You are never required to upload a photo. A manual hair profile entry option is always available. If you choose not to upload a photo, your booking will not be penalized — a manual estimate will be generated instead.

Hair photos are accessible only to the salon whose booking page you used and to ChairIQ platform administrators for support and security purposes.

5. SMS Communications

By providing your phone number and completing a booking, you consent to receive text messages from ChairIQ on behalf of your salon, including:

• Appointment booking confirmations
• Appointment reminders (48 hours and 2 hours before your appointment)
• Checkout receipts
• Post-visit follow-ups and rebooking prompts (if enabled by your salon)

SMS messages are sent via Twilio. Message and data rates may apply. Message frequency varies based on your appointment activity.

To opt out: Reply STOP to any message at any time. You will receive one confirmation message and then no further messages. Reply HELP for assistance. Opting out of SMS does not cancel your appointment.

6. How We Share Your Information

We do not sell your personal information. We share information only with:

• Stripe — for payment processing and stylist payouts
• Anthropic — hair photos transmitted for AI analysis. Anthropic does not retain photos or use them for model training under their standard API terms.
• Twilio — for SMS delivery
• Loops — for transactional email delivery
• Supabase — for secure data storage and authentication infrastructure
• Your Salon — client information is accessible to the salon operator and stylists at the salon where you booked. ChairIQ does not share your information across salons.
• Legal authorities — if required by law, court order, or government authority

7. Data Retention

Client appointment records are retained for as long as the salon maintains an active ChairIQ account. Hair photos are retained until deleted by the client or salon, or until the salon's account is closed. SMS message logs are retained for 12 months. Payment records are retained as required by applicable financial regulations (typically 7 years). Upon account closure, salon data is deleted within 90 days, except where retention is required by law.

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate information
• Delete your personal information (subject to legal retention requirements)
• Opt out of SMS communications at any time by replying STOP
• Request a copy of your data in a portable format

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete, and the right to non-discrimination for exercising your rights. We do not sell personal information.

9. Data Security

We implement industry-standard security measures including:

• Encrypted data transmission (TLS)
• Secure cloud storage with access controls
• Role-based access so salon staff can only access their own salon's data
• Authenticated signed tokens required for all hair photo and client file access

Payment data is handled entirely by Stripe and never stored on ChairIQ servers.

10. Children's Privacy

ChairIQ is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, contact us at privacy@chair-iq.com.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Salon operators will be notified of material changes via email. Continued use of ChairIQ after changes take effect constitutes acceptance of the updated policy. The current version is always available at chair-iq.com/privacy-policy.
